They won't give us any money, but they didn't want to charge us anything (well...)

Both Officer 1 and Officer 3 must sign

We have starter checks with real checks on the way

Check policy - checks cashed within 2 weeks...none of this sit on it for Pi months cr...stuff

The Database:

The database is really really really long
640 or so names have gone through the initial processing
300 or so more to go, then they'll be compared to the Georgia Tech Alumni Database to fill in gaps, add members, remove members
The GTAA database seems to be adding to our roster. These people will need to be contacted to clear things up...probably members of AKY or KAY
no...no...no... how many times do I have to tell you? it's K K Y...sheesh!
Anyone more recent than the Fall of 1998 is not yet accounted for, but Jason Allgood (active Alumni Secretary) has been helping to collect this information. Please encourage those who fit into this time frame to help him
Sarah wrote an sql database for the National Alumni Association and will convert one for us. It could have message boards, self-done updates, other options as needed

What About Long Term Web Space?:

Things are currently in various places
Will eventually end up on perl friendly harmony when it is ready to go "*live*"
Do we want to get our own url? Not worth it in the short term

Membership

Goals for IAA membership should be set, an x number by y date

Proposed: 20 members by meeting?
Countered with 30 members by meeting
24 People are on the IAA list serve
Consensus reached: 30 members by meeting
Shoot for 50 members by Homecoming
Then add 15~20 members per year

What's the status of the Recent and soon to be graduates?

You mean besides celebrating their parole?
Jeff has spoken to some and will speak to the rest

Recruiting

Do we want to use a "Buzz word" or phrase like Nationals uses? (3 more in 84!)
Should we encourage everyone to recruit? Yes! Broaden our areas of access
1/12 page adds in the Georgia Tech Alumni Association Publications cost $200.00 per publication per issue

Contact vs. Confidentiallity The battle for supremacy

How do westay in touch with members who share accounts with spouses, familes, etc. who are not brothers?

Leave it up to the individual to request arrangements. Let them coordinate with Sarah as those bridges get burned
Do not require subscription to the header
Set up two headers (one for info one for all) or let Sarah do digests of the important stuff

Alumni Day/Service Project

Are we going to do these together?

Great idea
It allows for more people to attend
Do we do it as a one day thing? Service in the morning/afternoon and Social in the evening?

Service Project

At this point the Active's needs are low
Second Phase of Band History proposed...as...an...idea...
Perhaps a History of Iota?

More of a Long Term project
Something like a 5 year plan
One does not exist and what pictures get taken, tend to disappear.... (poof!)
We'd need someone to spearhead the project...
...hint...hint ...hint!

Could we get a list of project with timelines, updates, etc. posted and maintained? Would help with planning -- done.
What needs to be done?

Todd needs to clear the idea with the Active Chapter
He'll work on getting into their agenda next term
Should we let the Active Chapter set the date since their schedules tend to be a little less flexible?

For the first year, what about a Service Day, Cookout, & Braves game?

Yeah....
We'd need to present a few option for dates
Try for group rate tickets
Make sure that we stress that the Braves game would be open to non-brothers (i.e. families, spouses, neighbors, household pets, gardening utensils...)

Newsletter

Sarah spoke to Justin...
Can we get a subsidy from the Georgia Tech Alumni Association a la the Georgia Tech Band Alumni Association?

The initial check said no because the IAA is not "broad enough"
Will check again...stressing our "honorific" intents

IAA's involvement would be to submit article(s), contribute manpower, and help defray costs for a two section newsletter (IAA & IotA)

Money

How are we going to get money besides dues?
Give me all the money in the register and this bag of Huggies!

The internet options are all drying up and going away...
The Golf Tournament is a year or more away
Do a gig for Sara (Neave) when she can't find anyone else?
Yes, but do the gig for a split of the money with a SIZEABLE kickback to the band and the remainder coming to us

What are our anticipated expenses?

The first few years the only real expenses should be for recruiting (i.e. the newsletter)
For the Braves Game idea, present a ticket & dinner package for one fee

We could find something to sell at conventions
Dues

Have members send their local dues and national dues through the IAA (due to us by June 1 of each year)
This would facilitate our records and ensure accurate annual reports
For the meeting in March 2001:

Must pay their local dues at or before the meeting if they wish to vote at the meeting
Prorate dues? (turned down)
Full $50.00 ($25.00 NAA, $25.00 IAA) will be due by June 1 for the 2001-2002 fiscal year
Agreement reached that if the full $50.00 is paid at the meeting, it will cover the 2001-2002 fiscal year and the remainder of the 2000-2001 fiscal year

Do we need a local membership form?

Just use the national form as the local form
Mail to Secretery/Treasurer's address...
Oh Joy! Fan mail!

Next Full Iota Alumni Association Full Meeting?
