March 12, 2000

John Harvard's "House of Alternative Beverages"

§ Status of National Alumni Association

A question was raised regarding the National Alumni Association's (NAA) organizational status. Is it a joint organization or does each half (Kappa Kappa Psi & Tau Beta Sigma) exist singularly?
Discussion Points included:
§ Packet From The National Offices

The packet regarding Guidelines for creating a Local Association of the National Alumni Association arrived and we already had most of the stuff. However it appeared that a few items were missing:
The packet did contain the aforementioned list of suggested guidlines:
A discussion ensued:

§ Discussion Of Topics & Related Decisions
  1. Do we decide on stuff now or wait until a later meeting?

    1. Meetings seem to be infrequent as laid out in the As proposed the only scheduled meeting is supposed to occur around the proposed "Founder's Day (see List Item 3-c)
    2. Make decisions today

  2. Officers:

    1. Do we rename them to something less formal? (general rumblings of agreement)
      1. Suggestions for Vice President of Stuff, Vice President of Odd Jobs
      2. Other suggestions force a change of subject...

    2. Do we like the idea of the five officers as proposed in the Bylaws? Too Many of them? Too Few Of Them?
      1. We split the Secretary/Treasurer despite National's recommendations
        • Is the split really necessary/viable?
        • Do we need to have two people keeping track of that stuff? (Two people to miscommunicate?)
        • General grumblings of no
      2. Do we parallel the Georgia Tech Band Alumni Association Board? (3 officers & 4 at-large members)
      3. Extra Board Members with 3 Officers?
      4. General grumblings in favor of 3 officers & 2 Board Memebers (Active Chapter's Alumni Secretary is a liason)

    3. We just opted to rename the officers. How shall we refer to them? (suggestions varied including:)
      1. Chief, Not--so Chief, & The Money Scribe
      2. Chief, Geisha, & The Money Grubbing Paper Pusher
      3. The Big Cheese, The Little Cheese, & Nacho Cheese
      4. The Godfather, The Don, & The Conciliary (with Not quite cheese & No cheese)
      5. A Simpsons Theme
      6. A Vote Taken:
        1. Cheeses - 2 Votes
        2. Mobsters - 5 Votes
        3. Simpsons - 4 Votes
        4. Chief & Paper Pusher - 2 Votes
      7. Round Two Pitting The Mobsters vs. The Simpsons:
        1. A request made for the officers to name themselves
        2. Done. Each core will decide their titles
        3. For IAA Bylaw purposes:
          • Officer 1
          • Officer 2
          • Officer 3
          • Board Member 4
          • Board Member 5
    4. Terms for the officers?
      1. In order to preserve some sense of continuity across regimes, a request was made to alternate the elections of officers and board members.
      2. Officers will serve 2 year terms & be elected in even years
      3. Board Members will serve 2 year terms & be elected in odd years. NOTE: The first board members will serve for 1 year.
    5. Duties for the officers?
      1. How do we redefine the roles of the 5 down to the 3?
      2. Make it nebulous -- Do whatever needs to be done?
      3. Are the committeess necessary at this point or can the Board handle that stuff for now?
      4. Settled on Nebulous with no committees for now.
    6. Appointments of the Lollipop Heads...um...er...officers
      1. Sarah Hampton Railroaded into Officer 1
        1. What are you going to call yourself: "Sh**!...I have no idea!"
        2. Board of Trustees (BOT) allowed to decide upon name at a later time (see BOT Meeting Minutes)
      2. Jeff Kunberger Volunteers for Officer 2
      3. Chris Hill Volunteers for Officer 3 (Well...I was already taking the minutes anyway...)
      4. Todd Lyman Volunteers for Board Member 4
      5. Matt McCullough Volunteers for Board Member 5

  3. Activities:

    1. Scholarship
      1. The Active Chapter requested that we explore creating a scholarship for the brothers.
      2. Are we interested? (general grumblings of assention)
      3. Discussion ensued, topics included:
        1. Splitting the requirements between academics AND service. There were misgivings about restricting it to academics alone.
        2. $100.00 for books only?
        3. Give it to whomever best exemplifies the ideals of Kappa Kappa Psi?
        4. Where Is The Money Coming From?
        5. Set up? We need to investigate money and legal issues

    2. Yearly Service Project With The Active Chapter
      1. The Active Chapter also requested that the IAA aid them in a yearly service project. This is intended to be for projects that are beyond the capabilities of the Actives on their own. We would provide manpower, funding, and/or professional resources that might be necessary.
      2. Are We interested? (A shout of "Great Idea!" arises from the far end of the table-rumored to be uttered by one of the Active Chapter members present...)

    3. Yearly Alumni Day
      1. This would be a "Founder's Day" of sorts based on the festivities arranged by the Zeta Chi chapter at the University of South Carolina
      2. We would hold the IAA annual meeting around that time
      3. With the Proximity to District Day do we want to avoid any similarities?
      4. No need for the Active Chapterto take an active role in planning this, but their schedule should be taken into consideration
      5. Move it to the summer? Fall and Spring are typically busy
      6. Change the location? Lake Lanier or similar site?
      7. First Founder's Day targeted for 2001

    4. Aid the Active Chapter's Delegate Attend National Convention
      1. We could provide money to help or pay the delegate's registration fees
      2. Concerns raised and echoed about the role of the Active Chapter being responsible for delegate assistance. We do not want to usurp; only to help
      3. Suggestion for the IAA to provide funds matching those given by the Active Chapter
      4. The NAA's approach is that this was to help those chapters who could not otherwise send a delegate

    5. Newsletter
      1. The Active Chapter's Alumni Secretary is charged with sending out a yearly newsletter to alumni. However, this has been done only once within recent memory.
      2. Concern was rasied about an IAA officer doing the job of an Active Chapter officer
      3. This would be a great way to recruit new members
      4. Split the work & the newletter between the Actives and IAA?
      5. Is this or do we need an IAA specific newsletter?
      6. We need to coordinate our databases with the Georgia Tech Alumni Association's

    6. Golf Tournament
      1. Jeff Kunberger envisions this as a major fundraiser in the future
      2. 1 or 2 years from now
      3. We charge a fee for a round of golf (T-Shirt included)
      4. We need to stress the Tax Deductability of this for an increase in Local Community Interest

    7. Georgia Tech Band Cenntennial Commission Fund
      1. Interest expressed in helping, but concerns about Active Chapter's take on that help.

  4. Dues:
    1. Suggestion made to parallel the NAA yearly dues of $25.00
    2. That would mean a total of $50.00 per year
    3. No objections made
    4. IAA Yearly Dues Set At $25.00

  5. Responsibilities/Tasks:
    1. Scholarship: -- Matt Simons

    3. Yearly Alumni Day: -- Todd Lyman
    4. Delegation Allocation: -- Matt McCullough
    5. Newsletter: -- Justin Davis
